# Approvals

> Decide what's waiting for your approval, set up who approves what, and hand your approvals to someone while you're away.

Some work in Prevarro waits for someone to approve it before it goes ahead. When something is waiting for you, you get a notification.

## Approving quotes

If your role can approve quotes, **Quoting** has an **Approvals** tab. Its badge counts what's waiting for you.

1. Go to **Quoting → Approvals**. **Pending** shows the quotes waiting on you.
2. On a quote's row, select **Approve** or **Reject**.
3. An approval note is optional. A rejection needs a reason, which the person who submitted it sees.
4. Select **Approve** or **Reject** again to confirm.

To decide several at once, tick them and use the **Approve** or **Reject** button in the bar that appears. It shows how many you've picked. A bulk rejection records the same reason on each.

Select **All**, **Approved** or **Rejected** to look back at decisions, month by month. You can search, and narrow the list with **Members**.

## Submitting a quote for approval

Your business can set a quote total at which sending needs approval, in **Quoting → Settings → Send approval**. A quote at or above it shows a banner in the builder:

- **Submit for approval** sends it to the first approver. Selecting **Send** submits it too.
- While it waits, the banner shows the step it's at. **Withdraw** takes it back.
- **Approved by** means it's **Ready to send.** If you change the quote after that, it's submitted again when you send it.
- **Rejected by** shows the reason. Make your changes and select **Resubmit**.

## Approving equipment record updates

Equipment shows by default for businesses that deliver work as jobs. When your business turns on **Require approval for record edits** in **Equipment → Settings**, an edit to a compliance record waits as **Update awaiting approval**. An approver opens the record and selects **Approve** or **Reject**. The person who made the edit can **Withdraw** it.

## Who approves what

People whose role can manage approvals set this up in **Settings → Approvals**.

- By default, items go to the direct manager of the person who submitted them - the **Reports to (manager)** set on their record in **Settings → Users**. A few money requests go to the Owner instead. **Default routing** lists each type and where it goes, and you can choose a chain for a type there.
- A named chain sends items through several approvers in order. Select **New chain**, give it a **Chain name**, choose what it **Applies to** and add the **Steps (in order)**. Then add the people it covers in the chain's editor.
- Turn on **Let approvers step in for each other** to let anyone who can approve an item - within their limit for money items - approve a step waiting on someone else. They can never approve their own item. Approvers then see **My Team** and **All** under **Pending**.
- Set how many working days pass before the approver gets a reminder, and before colleagues who can step in are told.

In **Settings → Users**, a person's record shows their **Approval chain assignments**. Each type can follow its default, or be set to **Auto-approve** or to one named approver.

## Going away? Delegate your approvals

1. Go to **Settings → Approval delegation** and select **Set up delegation**.
2. Pick who to **Delegate to**, when it **Starts**, the **Duration** and the **Scope** (all types or particular ones).
3. Add a reason if you like, then select **Activate delegation**, or **Schedule delegation** if it starts later.

While it's active, your approvals go to that person. Decisions they take show as made on your behalf. To end it early, select **Cancel** on the delegation, then **Cancel delegation**. Decisions already taken stand.

If someone has delegated to you, **Approving on behalf of** lists it.
