# Creating and sending a quote

> Start a quote for a client, build its price, and send it by email with a link to the online quote.

Quotes live in **Quoting**, on the **Quotes** tab. Quoting shows by default for businesses that deliver work as jobs. If your business runs members, it's hidden unless someone turns it on in **Settings → Modules**.

## Start a quote

1. Go to **Quoting → Quotes** and select **New quote**.
2. Under **Client**, search for the organisation or contact the quote is for. If they have sites, you can pick one.
3. Add a one-line **Description** if you like, then select **Create quote**.

The quote opens in the builder as a **Draft**. It gets its number when it's created.

## Build the price

The builder works down the page:

- **Job Details** - the issue date, **Valid until** (set when you send if you leave it blank), the client, the site and the **Job type**.
- **Scope of works** - the client's Scope of Works lists each section's name and description in order, an optional section in its own place, marked Optional. Here you add an intro, your **Inclusions** (what the client is getting - each becomes a deliverable on the won job) and your **Exclusions**, each printed under its own heading, and attach a scope document and plans or photos. To move an item to the other list, open its menu and choose **Move to exclusions** or **Move to inclusions**.
- **Products** from your price book, your equipment (once your business has some in **Equipment**), **Labour** and **Materials & Other Costs** - the lines that make up the price. Labour sell rates come from your **Cost rates** tab.
- **Quote Summary** and **Profit Check** - the total, your true cost and your profit margin.
- **Payment schedule** and **Terms & Conditions**.

To give the client a choice, use **Add option** above the sections. Each option is priced separately.

Select **Preview** to see the document the client gets. **Print / PDF** prints it or saves it as a PDF.

## Send it

1. In the builder, select **Send**.
2. Pick the **Recipient** from the client's contacts. A contact without an email address, or whose email has bounced, can't be picked.
3. If the quote has more than one option, tick the **Options** to send. Each option goes as its own document.
4. Add a **Note** if you like. It appears in the email above the document.
5. Select **Send**.

The email carries the document and a link to the online quote. The quote now shows as **Presented**, and **Copy link** appears so you can share the link another way.

Handed the quote over in person? Select **Mark presented** instead. It changes the status without sending anything.

## When a quote needs approval

Your business can set a quote total at which sending needs approval, in **Quoting → Settings → Send approval**. A quote at or above it shows a banner in the builder. Select **Submit for approval**, or select **Send** and it's submitted for you. Once it's approved, the banner reads **Ready to send.**

## What your client sees

The link opens the quote online. Your client can **Accept** or **Decline** it by typing their full name. Accepting marks the quote **Won**. Declining marks it **Lost**. Either way, the person who created the quote gets a notification.

You can also mark the outcome yourself. From the quote's menu in the list, choose **Mark won**, **Mark lost** or **Mark abandoned**.

## Changing a sent quote

A presented quote can't be edited. Open it and select **Revise** to start a new draft under the same number. The earlier version then reads **Superseded**. If your client opens the old link, they're told a newer version exists.

**Duplicate** copies any quote into a fresh draft with a new number.
