Finding your way around Settings
How Settings is laid out, what each section holds, and which help article covers the sections that have their own.
This article is being updated.
To open Settings, select your account menu at the top right and choose Settings. Settings replaces the sidebar with its own list of sections. Back to Prevarro at the top of that list takes you back to your modules.
The sections are grouped by who they belong to: You, Workspace and Account. You only see the sections your role allows, so your list may be shorter than a colleague's. Settings opens on the first section you can see.
You
These sections are about you rather than your business.
- Profile - how you appear to your team: your photo, name and other details. Employment shows, read-only, what has been set up about you in Settings → Users, such as your Role and Reports to. Weekly hours holds the hours you're available each day. Choose Set my own hours, or Use workspace hours to go back to your business's hours.
- Preferences - your Start page, which is where Prevarro opens when you sign in (a module, or Where I left off), and Notifications, where you choose which kinds of notification also reach you by Email or SMS. Your inbox in Prevarro always gets them, and Account & billing and Security emails are always sent. SMS opens once your business has switched SMS sending on and your mobile number, starting with + and its country code, is in your Profile. Quiet hours apply to SMS only, between the times you choose. Email is never held.
- Calendar & Email - Email capture, an address you BCC on emails you send so Prevarro logs them against your contacts. Select Choose an address to set yours up, then Copy it into your email program. This section also holds your Email signature and your Personal calendar feed (iCal).
- Security - how you sign in and the devices you're signed in on. See Signing in and keeping your account secure.
- Share Prevarro - if your role doesn't manage Users, your own link to share Prevarro with another business owner, and Become a Partner, which opens Prevarro Partners. If it does, you'll find Refer & Save under Account instead.
- Approval delegation - who approves on your behalf while you're away. See Approvals.
Workspace
These sections set up your business. Most people only see some of them.
- General - your Business identity, such as your logo, brand colour and the details on your customer documents, plus Locale & financial year, Tax rates, Employment on-costs, your Workspace email signature, and the Security policy an owner sets (see Signing in and keeping your account secure). It also holds:
- Support access, where the owner lets Prevarro support see what it needs to help, for a time they choose, and finds the Support PIN to quote when contacting support. See Getting help in Prevarro.
- Marketing consent, where you choose the consent rules your marketing messages follow.
- Celebrations, where you choose how the short moments that mark a first, a record or a milestone play: On, Subtle or Off. Each person can still turn them off for themselves with Moments for me under Preferences.
- Users - the people in your business and their invitations. See Inviting your team.
- Advisory access - opens Advisory access in Members, where you manage the advisors your business shares a read-only view with. See Advising other businesses.
- Roles & Permissions - what each role can do. See Roles and permissions.
- Modules - which modules appear in your sidebar. See Your business template.
- Approvals - who approves what. See Approvals.
- Notifications - who in your business receives each notice. The Internal card lists each notice with its recipients, which can be roles, people or a person on the record. The Customer-facing card lists the notices sent to your customers, and who in your business is alerted beside them. Everyone can see this page, but only someone who can manage automations can change recipients. To switch a customer notice off or change its wording, open it in its automation.
- Onboarding - your setup checklist and how far through it you are. If you hid the checklist on Home, Show the checklist on Home again brings it back. See Your first 30 minutes.
- Data - Custom Fields for adding your own fields to records, Tags for managing your tag library, and Imports. See Importing your data.
- Integrations - connections to other services, grouped under Accounting, Communications, Video conferencing and Developer & data. For example, Xero sits under Accounting, and your Custom sending domain for email sits under Communications. If your role can change integrations, Phone contacts lists each person who syncs their phone contacts, and Stop, then Stop again to confirm, ends one person's sync.
- Portals - what your customers and suppliers can see and do in their portals, under Customer portal and Supplier portal.
Account
These sections cover your business's own Prevarro account.
- Plan & Billing - your plan, your card and your invoices. See Your plan and free trial, Seats on your plan, and Your card, invoices and billing details.
- Storage & Usage - the Storage tab shows how much space your files use, by type. Messaging & API charts your metered sending month by month.
- Refer & Save - Your referral link to share with other business owners, a box to Send invitations by email, and How Refer & Save works. If you're a Prevarro partner, this section is Partner Centre instead: your partner link, its QR code, invitations and the businesses that signed up through you.
If a section is missing
Sections are hidden, not greyed out, when your role doesn't include them. If you need one you can't see, ask whoever manages your business's roles.
