# Members and plans

> How the Members roster, each member's record, events and your membership plans fit together, if your business uses Members.

*This article is being updated.*

Members is where you keep the people you serve - their plan, how engaged they are, and everything on their record. It appears in your sidebar if your business uses Members. If you don't see it, Your business template explains how modules are switched on.

## The roster

Open **Members** to see the **People** tab. Switch between **Cards view** and **Table view**. Each member shows their **Stage**, **Standing**, and their last and next sessions, with their **Health** if your business uses the health score. **Table view** also shows their **Membership plan**. Search the list, sort it, or narrow it with the filters.

- **Save list** keeps the members on the page as a fixed list. Pick it again later from **Lists**.
- **Export** downloads **Members (CSV)** or **Session history (CSV)**.
- To bring members in from a spreadsheet, see Importing your data.

## Adding a member

Every member starts as a contact, so the contact comes first.

1. Choose **Add member**.
2. Search your contacts and pick the person. If they aren't there, choose **+ New contact** to add them on the spot.
3. If your role allows it, pick a **Membership plan**. You can leave it as **No plan yet**.
4. Check the **Owner**, which starts as you, then choose **Add member**.

If you don't see **Add member**, your role doesn't include adding members.

## A member's record

Select a member to open their record. The left side holds their **Engagement stage**, **Account standing**, plan, **Format**, **Owner**, **Member since**, tags, custom fields and **Summary**. Account standing is worked out from their billing, so you can't edit it. Under **Participants**, **Add participant** adds more people to the membership.

The right side has **Activity**, **Notes** and **Attachments** tabs. **Notes** shows the notes on the person's contact record, so it needs a role that can read contacts. Beside the tabs, **Log interaction** records a call or meeting, and **Schedule 1:1** books a session.

If your role allows it:

- **End membership**, on the record's **Payments** card, asks for a **Reason**, when it takes effect, and for you to type the member's name to confirm. The record then shows **Membership ending** or **Membership ended** with the reason. Once it has ended, **Restart membership** brings them back on a plan from a **Start date** you choose.
- **Delete member**, from the menu at the top of the record, removes the membership and its history from the roster. The contact's record stays.

## Events

The **Events** tab shows your sessions as a **Month** or **Week** calendar, or as a **List**. Narrow it by **Host** or **Registration** under the filter button, or by calendar with **All calendars**. If your role allows it, choose **New event** to schedule an event members attend, or, on a one-on-one calendar, to book a member into a slot. Select a session to see its **Details**, **Attendance** and **Notes**.

## Plans & costs

If your role allows it, the **Plans & costs** tab lists your membership plans. Choose **New membership plan** to set one up:

1. Give it a **Membership plan name** and a **Description (shown to members)**.
2. A plan has up to two parts. The **Front end** is an upfront offer, such as a joining fee or a starter pack, with its **Length**, **Included sessions (total)** and price. **Continuity** is the recurring price after it, with its **Billing** - **Weekly**, **Fortnightly**, **Monthly** or **Annual**. Use **Remove** on either part, or add one back with **Add a front end** or **Add continuity**.
3. Under **Continuity**, set any **Free trial (days)** and **Minimum term**. With a free trial set, you can turn on **Require a payment method to start the trial**.
4. Under **Billing options**, add another recurring price with **+ Add billing option**. Choose **+ Price per extra seat** to add a **Per extra seat** price.
5. Under **Inclusions & access**, choose the calendars the plan's members can book, and how often you expect them to visit.
6. Set the **Status**: **Open**, **Closed to new members** or **Closed**.
7. Choose **Create membership plan**.

**Closed to new members** hides the plan from new enrolments, while members who hold it keep it. **Closed** hides it for everyone. Existing billing is never changed. A plan that still has members is closed rather than deleted.

**Business costs**, below the plans, lists what it costs to run your business each month. Cost figures can be hidden for your role.

## Members settings

If your role allows it, **Settings** beside the tabs holds your **Calendars**, **How members cancel**, **Exit reasons**, **Health score** and **Capacity**, among others. Exit reasons are the list **End membership** asks you to choose from.
