# The Schedule

> Plan who's going where and on what equipment, by day, week or month, and subscribe to your schedule from your own calendar app.

**Schedule** is where you plan who's going where, on what equipment, and when. It shows by default for businesses that deliver work as jobs. If your business runs members, it's hidden unless someone turns it on in **Settings → Modules**.

Each piece of planned time is a schedule block, with a type, a time, and the people and equipment it needs. Your appointments show beside your blocks.

## Views

Pick **Day**, **Week** or **Month**. Use the arrows and **Today** to move through dates. In **Month**, select **+1 more** (or however many) under a busy date to open that day.

**Day** and **Week** have a density switch. On **Day**:

- **By job** - a runsheet with blocks grouped under their job, blocks with no job under **Internal**, and appointments in their own group.
- **By time** - a single time column.
- **By resource** - people and equipment against the hours, with each block drawn to its length.

On **Week**:

- **By resource · stacked** - a grid of people and equipment by day.
- **By resource · timed** - the same grid, with each block drawn to its length.

In the views drawn to length, tick **Hide empty** to hide rows with nothing booked. On a small screen, those views aren't offered.

On **Day**, in **By job**, select **Print runsheet** to print the day. Closed days and public holidays show a banner, and anyone booked past their daily capacity is flagged.

Filter the view by **Person**, **Team**, **Equipment** or **Type**.

## Add a block

If your role allows it:

1. Select **New schedule block**, or press N. You can also click an empty spot on the grid to open the form on that date - where the grid shows hours, for an hour from where you clicked. In **By time**, on an empty day in **By job** and in the views drawn to length, drag across the grid to set the time, and in **By resource · stacked**, drag across a row to cover those days. The form opens with the time, the days and the row's person or equipment already filled in.
2. Give it a **Title** and choose the **Type**: **Work**, **Meeting** or **Travel**.
3. Pick the job it belongs to, if any.
4. Set **When**. Tick **All day** if it has no times.
5. Under **Resources**, select **Add people or equipment**. Picking a team adds its members.
6. Add a **Location**, **Notes**, or a **Video link** for a meeting.
7. Turn on **Tentative** to pencil it in. It shows with a dashed border.
8. Select **Create schedule block**, or press Enter.

To start from an earlier block, select **Copy from another schedule block** at the top of the form.

## Repeat a block

Turn on **Repeat** in the form, choose a pattern such as **Weekly** or **Weekdays**, and set when the series **Ends**. The form shows how many blocks it will create, and the first and last dates.

When you delete one block in a series, or change anything but its date, Prevarro asks whether it applies to that occurrence only, to it and the ones after, or to the whole series. Changing one block's date moves that occurrence alone.

## Change a block

Select a block to open it, and click a field to edit it. If your role allows it, you can duplicate or delete it from the top of the panel, or drag it to move it. Undo and redo in the toolbar step back through your changes.

Dragging an appointment asks you to confirm with **Reschedule**. If the appointment's calendar sends reschedule notices, the customer is sent one with the new time.

## Find a time

Select **Find a time** and pick who or what needs to be free, the **Duration** and the **Search window**. Prevarro lists **Available windows** within your working hours. If your role can add blocks, select **Use this** to start one there.

## Your schedule in your calendar app

Select the calendar button in the toolbar to subscribe. Select **Copy URL** and paste it into your calendar app, or select **Subscribe** to open the app directly. The feed is read-only and updates every hour. Don't share the address. Anyone who has it can see your schedule.

If the address gets out, select the regenerate button beside **Copy URL** and confirm with **Regenerate**. The old address stops working, so subscribe again with the new one.

If your role doesn't include **Schedule**, the page shows **My schedule** instead - your own blocks and appointments, read-only.

## Settings

If your role allows it, select **Settings** at the right of the view tabs:

- **Display** - the default view, densities and block type, and whether conflicts and synced leave and holidays show.
- **Working hours & capacity** - the Timeline's hours, the **Daily capacity threshold** and **Per-person overrides**.
- **Calendar feeds** - your personal feed, and the business-wide feed if your role can see it.
